When you run a business alone, you are the writer, the researcher, the note-taker, the bookkeeper and the designer. AI can help with all of that. But there are hundreds of tools, and most of them want $20 a month.

This guide keeps it simple: one tool per job. Each tool below lists a free plan, so you can start for $0. We also give the starting paid price and the official link, plus two sample toolkits for different kinds of freelancers.

Prices checked on 1 November 2026. Prices are regular US dollar prices, before tax. Local prices and VAT can be different.

We did not test these tools ourselves. Everything below is based on what each vendor lists on its official pages.

The toolkit at a glance

Design Canva Yes Price not confirmed (Pro) canva.com/pricing
Automation Zapier Yes $19.99 a month yearly, or $29.99 monthly (Professional) zapier.com/pricing

If you use all six on free plans, your toolkit costs $0 a month.

Writing and chat: Claude (or ChatGPT)

This is the tool you will open most: for emails, proposals, blog drafts, client replies and quick questions.

Claude Free lists chat on web, desktop and mobile, web search, file creation, up to 5 projects and voice mode. The limit resets every 5 hours, and there is also a weekly limit.

Claude Pro costs $20 a month billed monthly, or $200 a year (about $17 a month). Claude’s page lists at least 5 times the Free usage per session, plus Research, unlimited projects and Claude Code.

Why Claude as our pick? For a solo business, the yearly option matters. It brings the price down if you know you will keep it. But ChatGPT is just as good a choice. ChatGPT Free lists unlimited everyday text chats. ChatGPT Plus costs $20 a month and has no yearly plan, says OpenAI’s Help Center.

Research: Perplexity

Perplexity is built for questions where you want sources. Think competitor checks, quick market research or “what does this regulation say?”

Perplexity Free lists limited daily use, basic models and citations in every answer. The citations are the main reason we pick it. You can click through and check the source yourself.

Perplexity Pro: price not confirmed. Perplexity’s official pricing pages did not open for us on 1 November 2026, so we give no number. Perplexity’s Help Center lists more citations per answer, more file uploads, extended Research mode and access to top models from several AI companies.

Alternative: Gemini Free also lists Deep Research. We compare research tools in Perplexity vs ChatGPT.

A note on sources: an answer with links is easier to check, but it can still be wrong. Open the links before you use a fact in client work.

Meeting notes: Fathom

If you take client calls, a note-taker saves you from typing while you talk.

Fathom Free lists unlimited recordings and transcription, plus instant AI summaries. For a solo business, that free plan is generous.

Fathom Premium costs $20 a month billed monthly, or $16 a month on the yearly plan. It lists advanced AI summaries, AI action items and a chat assistant for your calls.

Alternative: Otter’s free Basic plan lists 300 transcription minutes a month. Otter Pro costs $16.99 a month, or $8.33 a month on the yearly plan. Full comparison: Otter vs Fireflies vs Fathom.

Always tell people you are recording. Ask for their consent before the call starts. Rules differ by country.

Invoicing: Zoho Invoice

Getting paid is not optional, so this one matters.

Zoho Invoice is free. Zoho calls it “forever-free”. The free plan lists up to 500 invoices a year, 2 users and 3 projects. Free invoices show “Powered by Zoho Invoice” branding. Zoho also says it may delete data from accounts that are inactive for more than 180 days, so keep backups.

Alternative: Wave’s Starter plan is $0 and lists unlimited invoices. Card payments cost 2.9% + $0.60 per transaction. Wave Pro is $19 a month, or $190 a year.

We go deeper in AI invoicing tools. We don’t give tax or accounting advice. Ask an accountant about your own rules.

Design: Canva

Social posts, simple logos, slide decks, a one-page proposal: Canva covers most of this.

Canva Free is listed as “always free”. It includes free templates and a smaller AI allowance.

Canva Pro is the paid plan for one person. We could not confirm its US price on an official Canva page, so we give no number here. Check canva.com/pricing before you pay. Canva lists 10 times the Free AI allowance, Background Remover, Magic Resize and Brand Kits.

More options are in our AI image tools guide.

Automation: Zapier

Automation connects your apps, so you don’t have to copy and paste. For example, a new form entry can create a task, or a paid invoice can trigger a thank-you email.

Zapier Free lists 100 tasks a month and two-step Zaps (one trigger, one action). It also lists Copilot, Zapier’s AI helper, with a daily limit.

Zapier Professional starts at $19.99 a month billed yearly, or $29.99 billed monthly, for 750 tasks a month. Zapier also lists a 14-day free trial of Pro with no card needed.

Alternative: Make has a free plan with 1,000 credits a month. We could not see Make’s paid prices on its pricing page, so we left it out of the table.

Start with one small automation. Check it for a week before you trust it with client work. More options: best AI automation tools.

Two sample toolkits

The freelance writer or marketer

Job Tool Cost
Writing Claude Pro, monthly $20
Research Perplexity Free $0
Design Canva Free $0
Invoices Zoho Invoice $0
Total $20 + $0 + $0 + $0 = $20 a month

You write all day, so the chat tool is the one worth paying for. Everything else stays free.

The consultant or virtual assistant

Job Tool Cost
Writing ChatGPT Free $0
Meeting notes Fathom Premium, yearly $16
Automation Zapier Free $0
Invoices Wave Starter $0 (plus card fees when clients pay by card)
Total $0 + $16 + $0 + $0 = $16 a month

Lots of calls and repeat tasks, but less long writing. So the money goes to meeting notes.

Both totals are simple addition of the listed US$ prices, before tax, checked on 1 November 2026. For more budget combinations, read The cheapest AI stack for a freelancer.

How to set it up without stress

  1. Week 1: sign up for the free plans you need. Skip the jobs you don’t have.
  2. Week 2: use them in real work. Note every time a limit stops you.
  3. Week 3: upgrade only the tool that stopped you the most.
  4. Every month: check your bank statement. Cancel anything you didn’t open.

Keep client data in mind. Before you paste a contract or client details into any AI tool, check its privacy settings. Some tools let you turn off training on your chats. Claude, for example, lists a model training opt-out even on its free plan.

FAQ

Do I need all six tools?

No. Only pick the jobs you actually do. A designer may not need automation. A writer may not need meeting notes. Fewer tools means fewer logins and fewer bills.

Which one tool should I pay for first?

Usually the one you open every day. For most solo businesses, that is the chat assistant. Claude Pro and ChatGPT Plus both cost $20 a month billed monthly (checked on 1 November 2026).

Are the free plans good enough for real client work?

Often, yes. Fathom Free lists unlimited recordings, and Zoho Invoice is free up to 500 invoices a year. The limits show up in heavy use: chat caps, AI credits, task counts. Start free and see.

Can AI do my bookkeeping or taxes?

No. Invoicing apps help you send invoices and track payments. They don’t replace an accountant, and this guide is not financial or tax advice.

Why no all-in-one AI tool?

Some tools do many jobs, but rarely all of them well. One tool per job is easier to understand and easier to cancel.

The bottom line

  • Brand-new freelancers: use all six free plans. Total: $0.
  • Writers and marketers: pay for one chat plan, about $20 a month. Keep the rest free.
  • Consultants with many calls: pay for meeting notes first. Fathom Premium yearly is $16 a month.
  • People with repeat admin: try Zapier Free, then consider Pro once 100 tasks a month is not enough.
  • Anyone on a tight budget: start with our cheapest AI stack.

A good toolkit is small. Six free tools, one paid upgrade at most, and a monthly check of what you really use.
